Dear Colleagues

There are now 21 schools live on ICON eAdmin – 19 in the Archdiocese of Melbourne and one each in the Dioceses of Ballarat and Sale. I wish to acknowledge the commitment of these pilot schools as early adopters of ICON eAdmin as they have helped us to continue to learn from and continually improve the rollout to the next groups of schools.

The focus for the first half of this year is on implementing ICON eAdmin to the next group of schools (Group One schools) in the Dioceses of Ballarat and Sandhurst.

We look forward to ICON staff working in collaboration with Diocesan staff to provide support and guidance to the Group One schools’ principals and staff.

It is timely to remember why we are committed to implementing ICON in Victorian Catholic schools. ICON will ensure all our schools, regardless of size, resourcing or location, will have access to sophisticated administration applications that can free up resources for teaching and learning. The deployment of eAdmin will enable the rollout of ePlan and eLearn resources for schools.

As an enterprise system, ICON will enable us as a system of schools, to share resources, information and good governance practices quickly and efficiently. This is important to achieve ongoing regulatory compliance in all areas of our operations so that governments retain high confidence to invest in Catholic education. ICON will also provide workforce benefits for schools with IT and business process skills being transferable from one school to the next. I look forward to continuing to work with you all as ICON rolls out. Without your cooperation and leadership, the program would not be a success.

ICON eAdmin training for Group 1 schools

The ICON project team and key staff from the Ballarat and Sandhurst Diocesan offices have been working together to plan for the implementation of ICON eAdmin in Group One schools. The eAdmin training for these schools will commence early in term 2. This training will be augmented by an eAdmin change management program for principals and school leaders.

The full resources of the ICON project team and relevant Diocesan staff will be available to support school personnel before, during and after migration to ICON eAdmin.

eAdmin: eHR Staff Self-Service in schools

The staff self-service function in the ICON eAdmin-eHR system can be used by school staff to manage their personal details, apply for leave and view their pay advices and payment summaries (using any device, anywhere and anytime).

Schools using this function have reported that the staff are enjoying the level of professional autonomy this brings (like being able to check their pay). After initial training, staff are supporting each other in learning this new functionality.

Privacy update

The Catholic Education Commission of Victoria’s (CECV) privacy policy outlines how personal and sensitive information may be collected, used and disclosed by the school to CECV, including through ICON.

In dealing with personal and sensitive information, all ICON data is bound by the Australian Privacy Principles.

The following procedures are in place to ensure the protection of data:

  • access to ICON data is restricted to authorised staff and ICON service providers
  • access is limited to those persons who have a legitimate need to access the data and is in accordance with the CECV privacy policy and other applicable CECV policies
  • protocols are in place to ensure access to data is controlled and managed
  • confidentiality and non-disclosure agreements are in place with each service provider.

ICON eLearn

G Suite (Google) for Education online courses

The ICON eLearn team have created 18 online courses on the suite of classroom collaboration tools offered by Google. Read the positive feedback from staff who have completed the courses.  More than 1,000 staff in Catholic schools have registered to undertake these courses.

Staff interested in these courses can find them through the ICON Implementation Support Site or can register via My PL (IPLS) on the CEVN website.

CEV G Suite for Education instance

Catholic Education Victoria (CEV) has its own instance of G Suite for Education which schools are invited to join.

The benefits of joining the ICON CEV G Suite Instance are:

  • Administration support – The ICON G Suite Administrators will ensure all releases and changes to the G Suite instance are tested, released and communicated.
  • Service Desk support –The ICON G Suite Service Desk staff can provide direct support to schools in the CEV G Suite instance
  • Free access to Hapara – This third-party application provides a suite of learning management tools that make it easier for teachers to view and manage student online work. This is provided free to schools in the CEV G Suite instance.

Those schools interested in finding out more about the CEV G Suite instance are invited to submit an Expression of Interest form.
