Adding Calendar Events to the Timetable
Entering Calendar Events
Calendar events can be added in Timetable Maintenance to:
set a timetable to start from a specific date
allow a timetable to skip public holidays or other events such as school closure days (e.g Curriculum days)
make a specific date run its timetable using different times
record special events on the timetable
For example, a number of public holidays fall on a Monday. Your organisation decides to have the Monday timetable on a Tuesday for that week to make up for the lessons students are missing on a Monday. By default, this would mean that all the days would move up one: the Tuesday timetable would be on Wednesday, the Wednesday timetable on Thursday and the Thursday timetable on Friday. The Friday timetable would occur on the following Monday, unless you created another calendar event to skip it and return to the regular timetable order that week.
A number of Calendar Events have already been entered for your school following the end-of-year rollover process. You may need to change these dates and/or add other Calendar Events to suit your school's calendar.
From the Students module open Timetable Maintenance:
Select the Calendar Events tab:
Click + to add a new calendar event:
Click on CalendarDate to add a date:
Enter Calendar Type and Description:
Calendar Types
Codes can be used to describe different types of days in the calendar. For example:
D0 is used for any days where there are no students required at school (i.e. a non-teaching day such as a staff PD day). This is not required for the school holidays.
D[number] is used to specify which day the timetable should be running. (i.e. D4 for a Thursday). It can be used to define which day of the timetable should be used after an event. e.g. A public holiday falls on a Monday but the school decides to run the Monday timetable on the following day instead. The code used would be D2=D1 (the Day 2 timetable definition will use the schedule of Day 1 in the timetable. This can also be used to indicate the first day of classes after a school closure event.
CD is used to specify special days. These can then be collated within the academic reports produced using eSIS.Â
Enter D0 for the school closure day. This tells the system to stop the timetable
Repeat the process to add another entry for the next day students will be at school. This tells the system to start the timetable again. E.g. If the Monday is a public holiday, this should be entered as a D0. If the students return to school the following day, the Tuesday should be entered as a Calendar Event as a D2 (assuming the school runs a 5-day timetable).
Save the calendar event and repeat the process if needed.
